This privacy statement applies to the processing of data by Dophou Nederland B.V. and Dophou Holding B.V. (collectively: Dophou) and affiliated (subsidiary) companies.
Processing by Dophou
Responsibility for the processing of personal data rests with Dophou Nederland B.V., Tolnasingel 18, 2411 PV Bodegraven, Chamber of Commerce number 50567454.
Why do we process personal data?
In order to carry out its business activities, Dophou processes personal data. This is done in accordance with applicable legal obligations. We process your data for the following purposes:
- handling your request for information or publications; offering, delivering, and adapting agreed services, products, and/or information to your needs and preferences;
- to send you a newsletter, offer, user information, service message, or other electronic communication;
- recruitment of personnel and assessment of a candidate’s suitability;
- to comply with legal and regulatory obligations and for handling disputes and carrying out (accounting) audits;
- to conduct market research and compile management information for product and service development and for determining overall strategy;
- compiling user statistics for our website;
- securing our website.
Dophou processes the following personal data:
- first and last name
- (business) email address
- (business) telephone number
- other personal data that you actively provide to us, for example in correspondence
If we intend to process personal data for a purpose not related to one of the purposes listed above, we will always inform you. This will be done by updating this Privacy Statement, by notice on our website, or by personal communication to you.
What is the legal basis for processing personal data?
We may use your personal data because this is necessary for the performance of an agreement concluded with you for the provision of services or products, or because it is necessary to pursue our legitimate interests. This legitimate interest consists of (digital) recruitment, promoting Dophou and its projects, establishing contact with (potential) relations and applicants, and improving our website. If you enter your personal data in a web form, you also give consent for the use of your personal data. You may withdraw your consent at any time. We will then cease further use of your personal data unless we have another legal basis for using it.
Who can access your personal data?
Employees of Dophou who require personal data for the performance of their duties have access to your data. Third parties will only be granted access to your data if we are certain that such party uses the data in a manner and for a purpose related to the purpose for which we obtained the data.
Access will only be granted in accordance with this Privacy Statement. We ensure that such third parties have taken sufficient measures to safeguard your personal data. Axxerion B.V., the owner of our system, is a third party that has access to your data under the conditions described above. Your data will not be transferred to a country outside the EU.
In some cases, we are legally obliged to provide data to third parties, such as the police. In doing so, we always consider how to respect your right to privacy as much as possible.
For the purpose of managing and maintaining our computer systems, it may be necessary for our supplier to access the systems. This will only take place when strictly necessary. Such access will take place under strict conditions, including confidentiality, as agreed with the supplier.
If we wish to transfer your data outside Europe, for example because a data center or supplier is located there, we will do so only under the conditions set by law, for example by means of a contract to which the EU Model Clauses apply.
Cookies and website use
Our website uses only functional cookies. These cookies are necessary for the technical operation, security, and basic functionalities of the website.
We do not use analytical, tracking, or marketing cookies that monitor browsing behavior of visitors or collect personal data for marketing or profiling purposes.
For security and technical purposes, the web server may automatically record limited technical data, such as IP address, browser type, device type, and time of visit. These data are used exclusively for:
- system security
- troubleshooting
- protection against misuse
- technical performance monitoring
These data are not used to personally identify visitors and are not retained longer than necessary for security purposes.
Our website may contain links to third-party websites. Dophou is not responsible for the content or privacy policies of these external websites.
Your rights regarding the use of your personal data
You may object to the use of your personal data, for example if you believe that the use of your personal data is not necessary for carrying out our activities or complying with a legal obligation. Other rights you have include:
The right of access. Upon request, we will provide you with the data known to us.
The right to rectification. If you believe we hold incorrect personal data about you, you may have these personal data corrected.
The right to erasure. If you want us to delete your personal data, we will comply with your request. An exception applies only in cases where we have a compelling and/or legitimate interest in not deleting the data that outweighs your privacy interest.
For technical reasons, it is not possible to remove data from our backups. If a backup must be restored to the operational process, we will still delete your data.
The right to data portability. You may ask us to transfer your personal data to another party.
You may exercise your rights by sending a letter, including your name, address, telephone number, and a copy of a valid identity document, to info@dophou.nl, for the attention of the Data Protection Officer (DPO). Do not forget to make your citizen service number (BSN) unreadable on the copy before sending it. It is also advisable to write on the copy that it is intended for Dophou. Clearly state in the letter which right you wish to exercise or to which use of your data you object. You will receive a response as soon as possible, no later than 4 weeks.
We may be unable to comply with your requests if they are made unreasonably often, require disproportionate technical effort, have disproportionate technical consequences for our systems, endanger the privacy of others, or are extremely impractical.
Dophou also informs you of your right to lodge a complaint with the national supervisory authority, the Dutch Data Protection Authority.
How do we secure your data?
We take all reasonable and appropriate security measures to protect visitors to our website, customers, and other data subjects against unlawful access to or alteration, disclosure, or destruction of personal data. We comply with applicable security standards. If, despite the security measures, a security incident occurs that is likely to have adverse consequences for your privacy, we will inform you as soon as possible. We will also inform you about the measures we have taken to limit the consequences and prevent recurrence in the future.
Retention periods
We do not retain data longer than necessary for carrying out the described activities, unless we are required by law to retain your data for a longer period.
